Finance staff, purchasers and employees who, for example, record time on projects, are regularly offered training in the system's various modules, as well as extra focus on support to give users the best start in the new system.

Since the system went live, it has been gradually taken into use during the first weeks. The new financial system has around 30 integrations to other IT systems - banking, STADS, payroll, etc. - so getting it up and running is no easy task. Sabine Jensen Jåtog, project manager for the new financial system, explains:

- "We estimate that about 2000 AAU users will be working in the system, so even though the system has been well tested in a test environment with test data and specialized users over the last many months, it will meet a very broad user group now that it is live, and of course we have to help those users get off to a good start", Sabine explains.

 

Therefore, a lot has been done to meet the needs of the new users with, for example, courses in the system's modules, where the following day Open Office sessions have been offered, where you could participate and get help to get started with the use of the module in question. All courses and sessions are held online, and guides, support information, etc. are collected on the system's website: https://www.okonomi.aau.dk/Oracle+ERP/

 

One of the users who feels that the system has gotten off to a good start at AAU is Anne Marie Hvilsom Christensen from Energy, who says:

- "Right from the first week, we had our hands all over Oracle ERP here at ENERGI. Everyone was positive and confident that it would be good once we had gotten fully into the new system. I received almost only positive feedback about the learning courses, and it seemed really good that the courses took place via Teams. Here after a few weeks, we are still very positive, and our experience is that bug fixes happen very quickly. Of course, we still encounter new errors and things that are a little more difficult than before, but that is the consequence of getting a new system. On the other hand, we have been pleasantly surprised by how much easier the administrative process is when access to Oracle ERP is administered via AAU-IDM - we are still very excited about that," says Anne Marie.

 


Project manager Sabine Jensen Jåtog adds:

- "In addition to taking good care of the users, we have also in the first month of the system run 'hyper care', where suppliers, developers and specialists have been ready to correct any errors and deficiencies that may arise. We generally receive positive feedback from users, which we are extremely pleased about, but also feedback that shows us that some adjustments are needed to make it work better in some places. We will of course continue to work on this", Sabine Jensen Jåtog concludes.
